We take fun seriously! Our EventCARE team is made up of competent professional qualified teachers, childcarers, au pairs, and ECD specialists — all carefully thoroughly vetted, criminal clearance checked, personally interviewed and reference checked, first aid trained, and ready to turn any event into a world of fun, while ensuring safety through delivery of a team experienced in managing large volumes of children.

With the support of our experienced management team and a network of creative entertainers, we bring themed play, hands-on activities, and joyful experiences to life. From intimate birthdays to grand family gatherings, we make sure every child is smiling, engaged, and immersed in the adventure — because at SitSnapp, fun isn’t optional, it’s our specialty!

 

  • Senior Childminders: 5+ years’ experience, (NQF 6+ or equivalent) tertiary-educated, fully trained, own transport.
  • Mid-Level Childminders: 3–5 years’ experience, (NQF 5+ certificate/diploma or equivalent) tertiary educated, professionally trained, own transport.
  • Junior Childminders: 1–3 years’ experience, matric or above, assist senior staff and care for children 5+.
  • Onsite Management: A qualified manager oversees team scheduling, emergencies, and equipment or entertainment setup for events with 10+ sitters or 50+ children.
  • Access Control: Optional for SoleCARE zones to safely check children in/out, manage access, and track allergies and parent contact.
  • Entertainers: Balloon artists, magicians, DJs, dancers, puppets, face painters, art and slime workshops, mascots, pony rides, and more. Can source unique requests upon quote.
Booking Notice

BOOKING NOTICE


When you are planning an event you are advised to start months and even up to a year in advance, the planning of a kids zone should ideally be started with the same time frame notice, though this is not always realistic and with that in mind, the following are absolute bear minimum notice periods depending on the services required:

CHILDCARE ONLY


  • 1 – 30 children: 2 or more working days notice
  • 31 – 60 children: 5 or more working days notice
  • 61 – 180 children: 10 or more working days notice
  • 180+ children:15 or more working days notice

FULL SERVICE


Planning, Management, Decor, Equipment, Entertaining, Childcare

  • 1 – 30 children: 10 or more working days notice
  • 31 – 60 children: 15 or more working days notice
  • 61 – 180 children: 4 or more weeks notice
  • 181+ children: 6 or more weeks notice

*Please note we do make exceptions to these minimums depending on the requirements, our record turn around on large events has been 3 days to have 30 on site, please inquire for availability on shorter notice.

Please note that while we provide service up to 100km from the aforementioned centers, service is only available for same day bookings within a 20km radius of service areas. Any distance beyond 20km from these centres is also charged at R 9 p/km in each direction.

 
Ratios

RATIOS


For home-based celebrations, we can safely manage slightly higher ratios than for corporate and sponsored or public events — up to 10 children per carer — giving every child attention and supervision while parents relax and enjoy the party (with a minimum of 2 booked).

For events based in public spaces such as restaurant based parties or beach celebrations; as required by legislation, at SitSnapp we carefully manage our child-to-carer ratios: up to 6 children per carer for those 7 years old or older, 4 per carer for ages 3–6 years old, and 3 per carer for toddlers 2 years old and under.

That way, every child gets the attention, supervision, and fun they deserve — and parents can relax and enjoy the celebration too.

Fee structures vary depending on where the event will be based, the number and ages of children requiring care, the experience/education of the candidates to be contracted as well as whether or not the parents will be present and responsible for the children or if our EventCARE team will take on full responsibility for them.

Rates will always be quoted before we proceed, however all fees are based on the following structures:


PACKAGES


Platinum

  • Planning Service from R 15 000
  • Average Cost per Child from R 2000 per head, all inclusive (Decor, Activities, Entertainment, Childcare, Catering etc.)

Our  Platinum Planning Package promises you a Red- Carpet Experience. We take care of every aspect of the event, to ensure you can enjoy every moment. It’s guaranteed to be an award-worthy soiree for your child, friends and family.

Perfect for busy parents and planners working on adult experiences.  Once we’ve decided on a theme or style together, we’ll create a storyboard so that you can see how every little detail will be brought to life.  Just like your children, every function is unique and built to our clients’ specifications.


Gold

  • Planning Service from R 10 000
  • Average Cost per Child from R 1500 per head, all inclusive (Decor, Activities, Entertainment, Childcare, etc.)

The Gold Planning Package is ideal for events where you’ve already planned the basics such as venue and catering. The Gold takes care of the rest, bringing the proverbial “bling”.

We’ll create a gorgeous party storyboard to bring your imagination to life and organise all the diamanté sized details. From colour and styling suggestions, themed décor, entertainment, play equipment hire, game planning and scheduling. We’ve got your party needs covered.


Silver

  • Planning Service from R 5 000
  • Average Cost per Child from R 1000 per head (incl. Activities, Entertainment, Childcare, etc.)

All milestones should be celebrated. The Silver Planning Package is perfect for smaller groups of children, baby showers, and gender reveals. Create child friendly creative experiences, add a unique atmosphere and a touch of wonder to any occasion. Relax and let our team of professionals make family gatherings, braais, swimming dates, and play dates a unique experience.


Bronze

  • Planning Fee from R 3 000
  • Average Cost per Child from R 750 per head

All milestones should be celebrated. The Silver Planning Package is perfect for smaller groups of children, baby showers, first birthdays and gender reveals.

Custom Hire 

  • Custom Hire allows clients to build their own service package depending on their needs.

Costs really do depend on the number of children, the ages of children (i.e. requiring age zones as per departmental requirements), the duration of the event and how ‘big’ or small you’d like to go.. Rates may fall below the event cost quoted above, but this depends on what you’d like to offer at your event.

TEAM ONLY HIRES


Booking Fee

  • 1 – 2 Sitters: R 600 per Candidate booked
  • 3 – 5 Sitters: R 550 per Candidate booked
  • 6 – 10 Sitters: R 520 per Candidate booked
  • 11+ Sitters: R 450 per Candidate booked

Sitters

Under normal circumstances our ladies earn from R 120 to R 350 per hour upwards depending on their experience and qualifications for the care of 1 to 5 children. If you require child care services at maximum child to candidate ratios, please expect a rate of between R 250 and R 400 per hour per candidate.

Entertainers | Decor | Other Services

Team | Vendor Management

  • If you need more than 5 staff onsite at your event, a manager must be booked to manage the team.
  • The rate per day for manager hire is R 2500 per day (9 hours max included in this fee, if more than 9 hours are required for a booking further billing may apply).

Payments

PAYMENTS


TIMING


  • All Short Term contracts are paid in advance.
  • Service Registration Fee is paid to request service, and the Placement Fee for the projected total of the contract is paid prior to start of the role on confirmation of placement when the client confirms the Sitter they would like to hire.
  • Sitter Fees are paid in advance for roles not exceeding 31 days in duration.
  • For ongoing contracts exceeding 31 days in duration, Sitter fees are billed monthly in advance.

OVERTIME | LOGISTICS


  • Any overtime, extra hours, or child-related expenses incurred during outings or activities are billed in arrears.
  • Payment for these fees is due on the last working day of the contract, or weekly for extended contracts beyond 7 days in duration.

PAYMENT METHODS

NOTES


  • Credit Card Payments attract a 5% Processing Fee.

Step 1: Complete our quote request form below.
Step 2: We will contact you to clarify any questions pertaining to the booking which may impact on your quote.
Step 3: You will be provided with a proforma invoice which is valid for 7 days from issue.
Step 4: Review the quotation, if you are happy to proceed with the booking an invoice will be sent for the 50% deposit to secure the booking for childcare and entertainers while 100% is due in the case of decor, catering, equipment hire etc, or in the case of international guests an invoice for 100% of the fees due for the booking will be sent.
Step 5: We will confirm any further requirements and process the booking.
Step 6: Our team will arrive on site as per quotation.
